The website at www.wenta.co.uk ("the site") is operated by Wenta, a company limited by guarantee which is registered in England under number 1744747 with a registered address at The Wenta Business Centre, Colne Way, Watford, Hertfordshire, WD24 7ND ("we" or "us"). Wenta is registered as a data controller with the Information Commissioner’s Office with registration number: Z5377404.

This privacy policy supplies you with information in regards to our learning management system, (LMS). The LMS will collect personal information and in doing so will use a set of cookies. These cookies are required to enable the system to operate.

The privacy practices for our LMS apply solely to information collected by this system. It will inform you how we will collect, process and share the personal information in delivering a LMS in regards to:

  • What personally identifiable information is collected about and how it is used and with whom it may be shared
  • What choices are available to you regarding the use of your personal information
  • The security procedures in place to protect the misuse of your information
  • How you can correct any inaccuracies in the information.

Information Collection, Use, and Sharing

We will collect and process your personal information as part of the LMS, the information we will collect and process is:

  • Name
  • Email address
  • Company information (e.g. job title, department, telephone number)
  • The time you spend within courses
  • The content you access within a course
  • The number of attempts you make at completing courses
  • The responses you provide to questions asked within a course or assessment
  • The pass rate you achieve for any given course

This information will be held securely in the LMS and your personal information will be accessed by authorised persons only, such as Wenta’s staff supporting the LMS service or your employer.

We only collect the personal information that your employer or you have supplied or requested that we collect. We shall only share information with parties who are providing courses or services under the LMS in order for them to provide the services to you or your employer and otherwise personal data will only be transferred to other parties as required by law. On completing the course we may contact you via your provided email address to provide feedback on course content. This will be agreed with your employer or you at the time of creating your account.

The basis for processing your data is:

1) Our legitimate interests in providing free or low-cost support to businesses, for their benefit and for the benefit of the economy as a whole.

2) For the performance of a contract as we are supplying services under a contracted programme.

3) For you, our client’s own interest to benefit from our mostly free services and support that Wenta offers.

4) For your specific consent, which we request whenever you complete registration for your account.

Management and retention of your personal information

We will only retain your personal information for the period of the contract with you; and for a certain time period thereafter to comply with legal or taxation requirements.

Registration

In order to use and access your LMS course(s), you will need to have a LMS user account set up. Your LMS user account will provide you with access to course(s) or content that your employer has or you have subscribed to. Method of registration:

Self-Registration - Your employer may have opted for self-registration. We will send you a link to the LMS where you will be asked to provide (as a minimum) your email address and name; or alternatively, you have registered for the LMS package yourself via the LMS home page.

Security

We take precautions to protect your personal information and have appropriate technical and organisational measures against unauthorised, the unlawful processing of personal information and against accidental loss or destruction of, or damage to, your personal information. We have a contract in place which outlines roles, responsibilities and accountabilities for data protection compliance, which will be reviewed on an annual basis with our IT providers and website hosting agents and any other applicable third party suppliers to us.

We shall ask you to provide us with your personal information (e.g. name, and email address, business details) via our secure system, or your employer may provide this personal information to us via our secure system]. On receipt of this information this will be held in our electronic document management and LMS systems and only authorised staff members will have access to this information. The computers/servers in which we store personally identifiable information are kept in a secure environment.

Feedback

We may collect feedback from your users upon completion of LMS courses. We send an email to you requesting that you complete a short survey. Participation in this survey is voluntary and this feature can be disabled in your LMS. Survey information will be used to ascertain our client satisfaction levels, improve course content and provide reviews of our services. The information collected by course completion surveys will only be used by Wenta for this purpose.

Cookies

Cookies are small text files which are stored on your computer by your web browser and used by a website to read and write data which is used to improve your browsing experience. As part of our LMS the cookies we use are a requirement and function of the LMS. We use functionality cookies to allow the LMS to remember your preferences.
